The way forward: UTSC events focus on collaboration

More change is afoot in the way campus-wide events are coordinated and executed at UTSC. The overall oversight for campus events has shifted to the Principal’s Office, with the Office’s director playing a key role. At the same time, the logistical aspects of event management and coordination have moved to the portfolio of Retail and Conference Services.

The two portfolios come together to discuss all aspects of managing an event, from general event concept to the finer details of catering, signage and parking. How does it work? If you are considering holding an event where senior University officials or government members are being invited, you should be in touch with the Principal’s office (saunders@utsc.utoronto.ca). Need help with booking an event location, picking menus or arranging parking? Then staff in Retail and Conference Services are here to help ( ttorres@utsc.utoronto.ca).

The new structure is meant to provide coordinated guidance and support to UTSC departments who are planning events so that there is a consistent look and feel to campus events. “This new approach offers the UTSC community wide ranging support and expertise from our enthusiastic and highly capable events team on both the planning and logistical sides of the house,” adds Fran Wdowczyk, Director of Business Development and Special Advisor to the CAO, whose portfolio includes Retail and Conference Services.

The Instructional Centre Opening was a good case in point, where the planning and logistic teams brainstormed around how to make the ribbon cutting visually engaging and non-traditional. The result was more than 25 metres of blue and white (U of T colours) draping that cascaded to the floor and hung from the Atrium in dramatic fashion.

An Events Cabinet has also been established that brings members from different campus portfolios that plan and execute events on a regular basis to discuss cross-cutting issues and come up with guidelines and best practices that can be shared.

Looking ahead, an events calendar and an events management guide will be distributed over the next few months.
